Environmental Policy

The management and all who work at Alpha Response are committed to the environment and the prevention of pollution.

The organisation ensures that all its activities are carried out in conformance with the relevant legislation.

The organisation seeks to minimise waste arisings, promote recycling, reduce energy consumption, reduce harmful emissions and, where possible to work with suppliers- who themselves have sound environmental policies.

An essential feature of the environmental management system is a commitment to improving environmental performance. This is achieved by setting environmental objectives and targets which are regularly monitored and reviewed. These objectives and targets are publicised throughout the organisation and all staff are committed to their achievement.

In order to ensure the achievement of the above commitments, the organisation is implementing an environmental management system which satisfies the requirements of ISO 14001:2015.

Harassment
Harassment is physical, verbal or non verbal behaviour which is unwanted and personally offensive to the recipient, and which causes the recipient to feel threatened, humiliated, intimidated, patronised, denigrated, bullied, distressed or harassed.

The way in which Complaints of Unlawful Discrimination and Harassment will be handled.
Discrimination and harassment are often complex matters, and there is no single way of dealing with every suspected or alleged instance. In some cases employees may be able to deal satisfactorily with an issue by raising it with their immediate manager.

If an employee wishes to make a formal complaint he or she should use the Company’s Grievance Procedure which is set out in the Employee Handbook.
The Company will treat seriously all allegations of unlawful discrimination or harassment.
If an employee is accused of unlawful discrimination or harassment, the Company will investigate the matter fully.
In the course of the investigation the employee will be given the opportunity to respond to the allegation and provide an explanation of his or her actions.
If the Company concludes that no unlawful discrimination or harassment has occurred, this will be the end of the matter.
If the Company concludes that the claim is false or malicious the complainant may be subject to disciplinary action.
If on the other hand the Company concludes that the employee’s actions amount to unlawful discrimination or harassment he or she may be subject to disciplinary action, up to and including summary dismissal for gross misconduct.

Monitoring
The Company will not tolerate unlawful discrimination or harassment of any kind in the working environment and will take positive action to prevent its occurrence.
In this connection the Company will monitor its policies and will implement changes in order to improve them as social attitudes and legislation change. This commitment applies to all the Company’s employment policies and procedures, not just those specifically concerned with equal opportunities.

Privacy and Data Security Policy

Alpha Responseprint & Mail Ltd processes data on behalf of its clients the company also holds personal data on its employees.

This privacy policy includes the companies Information Security Policy which is part of its ISO 27001 preparations and explains how we use any personal information we are supplied and how it is destroyed after a period once used.

What information do we receive from clients for processing?
We do not generate any personal data but receive from clients personal data for the production of printed products and mail packs together with email campaigns. This data generally only has name and address details but can sometime include order specifications and specific delivery information.

How will we use the information received?
We process the data to prepare for the printing of the information and in processing orders, we may send data to, and also use information from registered data cleaning services such as the MPS and the Bereavement Register for suppression as instructed by clients.

Marketing Access to client information and correction?
We also collect information from our clients when they voluntarily complete client surveys, provide feedback and participate in competitions.
We collect information about clients to process your orders, manage your account and, if you agree, to contact them about other products and services we think may be of interest to our clients.
If a client has consented to receive marketing, they may opt out at a later date and have a right at any time to stop us from contacting them for marketing purposes

How to contact us
Clients and their contacts have the right to request a copy of the information that we hold about them. If they would like a copy of some or all of your personal information, please email us at the following address: sales@alpharesponse.ltd
We may make a small charge for this service. We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate

What information do we hold about our employee and how is it used?
We hold only that personal information that is required to establish employment status and that information required to report income and calculate tax and benefits. This is information is kept of seven years after termination of employment.

How long is client supplied data kept for?
All client supplied data is destroyed after a maximum of two months from when it was last processed. No off site backups of client supplied data are produced. Exceptionally a client may ask for data to be stored after this period by written request.

Information Security Policy

General Statement of Policy

Alpha Responseprint & Mail Ltd shall:

Establish, maintain and follow systems that identify and control risks to the security and information held by the company in whatever form.
These systems shall take into account both legal requirements and specific requirements of clients.
The systems will include the formal assessment of risk to a methodology which is appropriate for the information, its format and transfer methods between the company and the client.
Establish objectives by which effectiveness and improvements may be measured.
Establish feedback systems to measure the performance of the company against these objectives. In addition, periodic audits will be carried out.
Learn from both the positive and negative outcomes from this measurement process, making improvements where appropriate.
Develop our internal resources and work with our key trading partners to develop theirs.
Continually improve the information security management system.

In order to ensure the achievement of the able commitments Alpha Responseprint & Mail Ltd has implemented an information security management system which will satisfy the requirements of ISO:27001:2013.
